Office Opening: Administrative Specialist – Pastor/Staff Support

Covenant Church (Springfield/Delco) is hiring a part time Administrative Specialist whose area of focus includes acting as Administrative Assistant to the Senior Pastor and pastoral staff. Specialist will work 4 days a week (no weekends), approximately 20 hours.  This is not a work from home position. Resumes can be submitted to: personnel@covumc.com

Primary duties include publishing church bulletins, gathering and preparing information for various reports, responding to internal and external requests in a timely manner, general office duties, preparing for on-line Sunday services, and coordinating volunteers in various positions. Applicant must possess excellent communication and organizational skills.  Must be proficient in Microsoft Office and various Google Programs.  Starting rate between $16-$18 per hour. RESPONSIBILITIES:

  1. Acts as primary administrative assistant to the Senior Pastor with support given to other staff members.
  • Assists the Senior Pastor in maintaining staff employment files and records. Keeps labor and employment posters posted on workroom cabinets up to date.
  • Publishes weekly church bulletins, funeral bulletins, Riddle Village service bulletins, and other bulletins as required including composition and reproduction.
  • Creates invitations for in-house and Nursery School distribution (Diana has been creating ½ and ¼ sheets and posters for children, youth, and other activities) listing worship services and other events during Advent and Lenten seasons. 
  • Creates posters and flyers for internal and external advertising for special worship services and events.
  • Works with office staff members and volunteers as required.
  • In conjunction with the Senior Pastor, produces correspondence to inactive and out-of-area members.
  • Responsible for running appropriate reports from Church Windows to verify CUMC membership statistics, gathering information from CUMC leaders about Christian formation groups, classes, ministries, and participants for the EPA Annual Statistic Report.  Works in tandem with the Accounting Coordinator who provides the financial statistics for the Statistic Report.  Inputs data in the report and submits it by the stated deadline.
  • Takes part in the general office duties of answering the phones and e-mails, and greets guests and parishioners.  Conveys messages and matters of concern to the pastoral staff.
  1. Updates Lay Employee and Preschool manuals when revisions occur.
  1. Performs other duties on a temporary or long term basis as may be assigned or agreed upon in consultation with the Senior Pastor.
  1. Enters membership information into the Church Windows System and maintains information on an up-to-date basis. Is the primary administrator for membership information in the Church Windows System.  Also assists the Membership Secretary [volunteer] with membership records.
  1. Prepares ProPresenter playlist for Sunday worship services and other services as required.
  1. Prepares a “cue” sheet with outline of worship service and other information to assist the Stream Team volunteers.
  1. Prepares an 8½ x 11 version of worship bulletins to be included with email reminder of online worship services.
  1. Determines who will receive flower arrangement(s) from the worship service and prepares delivery card(s) for volunteers.
  1. Receives and files electronic and hard copies of minutes from Leadership Team, Property Team and Financial Oversight Team.  Also files permanent record copy of every worship service bulletin and church newsletter.
  1. Schedules volunteers for opening/closing buildings and turning on lights, heat or A/C for Sunday services.  Keeps procedure for this task up to date with seasonal information and/or special directions.
  1. Schedules lay readers and communicates with each week’s reader to provide lessons.  Some readers require readings to be formatted and/or printed for them.
  • Adheres to CUMC Brand Standards when producing publications such as worship bulletins, newsletter, correspondence, etc.

EXPECTATIONS AND INFORMATION:

  1. This position is responsible to the Senior Pastor and the Leadership Team.
  • This is a part time, 4 day a week, position.
  • Time off shall be scheduled in coordination with the Senior Pastor and listed on the staff vacation calendar in accordance with CUMC’s vacation policy.
  • For the purpose of office coverage, additional hours may periodically be required to cover vacations and sick leave.  This will be determined in consultation with the Senior Pastor.
